1	Introduction	The Chairman welcomed all attende= es to the meeting.

2	Kreiss Meeting 03 Sep 04	The Kreis League Chairman at the = meeting on the 3^rd Sep 04, read out a letter from Terry and Tina about their HOTO and he requested that all teams assist PRB Gutersloh FC during= the coming season.
		Football against Violence. It was stres= sed by the Kreis League Chairman that verbal or actual violence, by anyone associated with clubs by coaches, players or parents/spectators would not= be tolerated.	Coaches should monitor and prevent incidents in accordance with the Club Charter.

3	League Meetings	Kreis League Group Meetings. The remainin= g age group Kreis League meeting dates were identified and all coaches confirme= d that they would be attending.	Remember to be accompanied by a G= erman speaker.

4	CD Rom from Terry McCosh<= /o:p>	All team head coaches should be in possession of the CD Rom, which contains the majority of documents, requi= red to be self-sufficient during the coming season.	Additi= onal forms can be obtained from the website.


5	Treasurers Report	Subs Letters. Subs letters= will be produced following confirmation of Squad names and numbers. Following issue those who have n= ot paid within 3 weeks will be suspended from any form of football, including training, until subs are paid.	Treasurer is to ensure tear-off s= lips are provided on the subs letters. (Speak to Jeff Heaps).

6	Membership/<= /b> &nbs= p; Players	Registration. Registration= is to be completed through Matt Irwin. If a player wants to join, the coach should apprise the parent of = the waiting list (if applicable) and then complete the registration formaliti= es.	Waiting list timing estimates fro= m Kev Hanbury should be relayed to parents so that they can decide either to wa= it or attempt to sign for another club.
		Squad Registration<= span lang=3DEN-US>. Coaches shou= ld confirm player attendees up until the third weeks training (23 Sep 04). Those parents of players who hav= e not attended should be contacted to confirm their continuance. Those who are not continuing sho= uld be struck from the squad list and players from the waiting list should be ca= lled forward.	Coaches who are already above the recommended number for their squad should not recruit additional players until vacancies are available.
		Spielepasses. Players shou= ld not play for PRB Gutersloh FC unless they have a valid spielepasse.	Coaches are to confirm through Ma= tt Irwin.
		Meldeliste. Players should be entered on the league register (meldeliste) for their age group either before or immedia= tely after playing their first match.	Un-registered players spielepasse= s are to be passed to Matt Irwin for action ASAP.

7	Rules & Pitch Sizes	Enforcement of Rules. The sh= eet of rules and pitch sizes should be adhered to specifically match timings and pitch sizes. These timings = and pitch sizes are issued to protect the children from excessive physical activity.	This detail is produced by the Kr= eis League and should be adhered to also by the opposition.

8	Conduct	Club Charter. The re-vampe= d PRB Gutersloh FC charter was distributed.	Coaches are to read and copy for = issue to parents for compliance for all associated with PRB Gutersloh FC. <= /p>

		Trainers Responsibilities. The ‘T= rainers Responsibilities’ information sheet was issued.	Coaches to ensure compliance.

9	Fixtures=	Home/Away. The fixture list for the whole c= lub until Xmas was issued. All = home timings were inserted; we are still waiting for many away fixture timings= .	Coaches should contact the fixture secretary if timing details are not received prior to training.

10	Matchdays	Spieleberichts (Match Reports)= . Spieleberich= ts should be completed fully, correctly and for home games placed in the box inside the gymnasium foyer.
		Results Reporting. Results, hom= e and away, should be emailed/phoned through to Matt Irwin at the earliest opportunity but no later that 1700 Sunday.	Preferably emailed.
		Internet Access. Internet web= sites for viewing: www.prbguterslohfc.de www.flvw-k34.de Matt Irwin will enter all require= d detail including results onto the websites.	All coaches are to ensure that Ma= tt is kept up-to-date with all info and any additional info that can be added.<= /span>

11	Welfare<= /p>	AWS. AWS vetting sheets should be com= pleted and returned to Matt by all coaches ASAP.	WEF 01 Jan 05 coaches without the requisite vetting clearance will not be able to coach.
		Off-Site Course. All coaches = should complete the ‘off-site’ course within 12 months of being with= the Club.	Details of courses to be notified= by AWS.
		First Aid. All coaches should gain the civi= lian First Aid qualification ASAP. The two day courses are held twice monthly at the Base Fire Station.	Book courses through Mr Mark Raps= on

12	Director of Football	Coaching. All coaches should provide struc= tured training planned in advance. The Director of Football will observe coaches to provide advice and direction= to ensure that all players receive appropriate training.	Coaches training day; Sun 03 Oct = 04 0900-1200hrs. All coaches a= re requested to attend.
		Coach Availability<= span lang=3DEN-US>. If coaches a= re unable to attend a training session or match, they are to attempt to iden= tify a suitable stand-in from other coaching staff. If unsuccessful they are to cont= act the Director of Football who will attempt to identify a coach for the session/match. This should = be carried out at the earliest opportunity, not the day of the event. Cancellations of training sessio= ns or matches should only be carried out as a last resort.	If training sessions/matches are = to be cancelled it is the coaches responsibility to ensure that ALL parents are informed in good time.
		Player Allocations<= span lang=3DEN-US>. All coaches = receiving requests from players to join PRB Gutersloh FC should ascertain the waiti= ng list status prior to agreement.	Those parents whose children are = placed on ‘long’ waiting lists should be given the option to wait or attempt to join a different club.
		Training Schedule. The Training Schedule for all teams is issued. The club has a block booking for the Astro between 1700-1900 Mon-Thu. If the Astro is cr= owded please use common sense of the space or move to a suitable grassed area.<= /span>	Trainers can amend their individu= al timings to suit, but only following referral to the Director of Football.=

13	Kit-Manager	Team Kit. All teams have been allocated sufficient PRB Gutersloh FC kit for the season including strips, balls, cones, bibs and water bottles. Applications for essential replacement or new kit should be made through the Kit-man, = John Duncan. Any other additional ‘nice to have’ kit to be purchased will be agreed by the committee prior to purchase.	There are a number of items on or= der that will be issued as required. New strips will be ordered as required if brought to the Kit-man’s attention.
		Replica Kits. Outsta= nding requested replica kits that have been ordered are either here or ‘in the post’. New reques= ts for replica kits should be submitted to the Kit-man with money ‘up-front’.
		PRB Merchandise. The PRB Merc= handise order forms should be distributed to parents for completion as required.<= span style=3D'mso-spacerun:yes'> Requests for PRB FC merchandise = should be submitted to the Kitman with money ‘up front’.	There are limited amounts of merc= handise in stock that can be purchased immediately.

14	Indoor Tournaments<= /span>	Winter Close Season= . During the w= inter close season period (Dec-Mar) the club will be invited to various indoor tournaments in and around Kreis Gutersloh. Apart from the HallenKreisMeisterschaft, these are friendly tournaments that will be used for both practice and to enable second teams to take part. HallenKreisMeisterschaft. The HallenKreisMeisterschaft tournament is the major tournament for all first teams of each age group held during Jan/Feb 05. Availability. It is intend= ed that all teams will be given opportunities to participate in indoor tournaments. Coaches should identify as early as possible their player availability especially over t= he Xmas/New Year period.	All players and coaching staff who encroach onto the playing surface are required to wear ‘light colour’ soled trainers. Coaches should advise parents at the earliest opportunity to purch= ase regulation trainers. Persons without will not be able to either play or encroach onto the playing surf= ace.
15	AOB	Recognition. All coaching= staff should purchase and wear PRB Gutersloh FC attire that enables them to be easily recognizable at either matches or training by both the opposition = and parents.	Kit purchased by regular coaches = are sold at a ‘preferential’ rate.
		Garrison Thank You<= span lang=3DEN-US>. HQ Gutersloh Garrison has extended an invite for all regular coaching staff/voluntary helpers of PRB Gutersloh FC to a reception in the PRB Officers Mess on Tu= e 21 Sep 04 between 1830-2030hrs. Dress is lounge suit or equivalent.	All available to attend. Names to be confirmed through Rim Rimmington.
		Next Meeting. The next mee= ting will take place on Mon 8 Nov 04, 1700-1800hrs in the UWO 1 GS Regt RLC.	All are requested to attend.
